Administrative Procedures
9.1 Transfer Credits
A maximum of 12 semester hours of credit may be transferred into a graduate degree program at ODU. All transfer credits are subject to the approval of the GPD, and must be evaluated using Graduate Form 1. Students should submit copies of grade report, course syllabus (including topics covered, text used, and instructor) and a copy of the catalog listing of the course.
9.2 Responsibilities and Authority of the Dean
Many formal actions affecting the students progress through their degree program require the formal approval of the Dean's office, usually provided by the Associate Dean. The Dean's office thereby represents an avenue of appeal in the case of major disputes at the Departmental level.
9.3 Student's Responsibilities
Although every effort is made at the Departmental, College and University level to ensure that students fulfill all degree requirements as described in this Handbook and the University Catalog, the student bears the primary responsibility to ensure that all requirements are met and all regulations adhered to.
9.4 Use of Photocopier
There are currently copying code numbers assigned to each faculty member, staff, and graduate student. In addition, there are numbers assigned anonymously to "Department" and "Graduate Students". Each user simply enters his/her number to use the copier and the statement of usage is issued once a month detailing the charges to the individual user.
There shall be guidelines for photocopying privileges, as detailed below. It is strongly recommended that the users exercise strict discretion in their photocopying by adhering to those guidelines. None the less, it is recognized that the guidelines cannot cover each and every need, hence personal judgment should be exercised on a case-by case basis to abide by the spirit, if not the letter, of the policy.
Guidelines:
1. There shall be code numbers issued in the following categories. Individuals should use the appropriate code number for a particular copying job.
- faculty members
- graduate students
- - special category (subject to approval): courses, recruitment and student application, unsponsored projects, conference organizations, journal editorship, professional organizations
2. When a copying job of 200 pages or more:
a. permission is required from the Chair
b. should be performed during off-peak hours (before 9:00 or after 5:00 p.m.)
3. Before copying, please consider the following:
a. Is it really a must that the copying be done?
b. Is there another copy around (with a colleague, adviser, etc.)
c. To avoid wasted copies, have you set the copier controls correctly to do exactly what you need?
d. Do you know that all internal memoranda can be distributed electronically via e-mail? It is easier, cheaper, faster, and constitutes a permanent copy with easy filing. Just remember the e-mail address and the shortcut aliases, such as, ae-all, ae-faculty, ae-staff, ae-grad, or make your own distribution lists.
4. Remember upper limits to copying shall be as given below (subject to change):
